Seller Policies & Regulations
  • Sellers may attend either the Alberta or BC appointment session, not both.
  • Conditions of participation are that all Sellers have export ready product and are prepared to provide net or commissionable rates for 2020. See Export Ready criteria under 'Policies'.
  • Returning Sellers who participated in the 2018 CWM trade show have first right of refusal to participate in the 2019 CWM trade show.
  • The CWM Partners reserve the right to decline or waitlist any Seller application.
DEADLINE FOR SELLER REGISTRATION:
5:00 pm on Friday, July 26, 2019

APPLICATIONS RECEIVED AFTER THE DEADLINE WILL NOT BE CONSIDERED
  • The hotel/motel section of the CWM trade show will be limited to a maximum of 40% of the total Sellers. Should a national hotel representative and one of their member hotels apply separately, the properties may be asked to apply as one organization with two appointment schedules.
  • Receptive tour operators (RTO) must be licensed and demonstrate they represent a number of products in both Alberta and BC and have been in business at least one year, with a proven track record for safe and professional operation.
  • If an RTO also attends as a Buyer, the same delegate cannot attend as both Buyer and Seller.
  • If an RTO attends as a Seller, they may only participate in the appointment session they are registered for.
  • The CWM trade show is an event servicing leisure markets; therefore MICE organizations are not eligible to attend.
  • Destination Marketing Organization attendance is limited.  This is based on availability of space for Sellers as well as Buyer preference to meet with individual Seller organizations.
  • Sellers are not permitted to offer Buyers excursion opportunities or plan an event/function that interferes with the CWM trade show appointment sessions, functions or pre/post FAM tours. Any Seller not following this guideline will be asked to leave the trade show immediately and excluded from attending the CWM trade show in the future.
  • Promotional games of any type are not permitted to be played on the trade show floor during the scheduled business appointments (e.g. no golf games or other activities that could be a distraction to others conducting business discussions). Visual presentation equipment is permitted without audio.
  • Sellers are only permitted to represent their CWM registered product(s) at the CWM trade show. Sellers cannot represent or distribute collateral or other information pertaining to another business or product, unless previously approved by the CWM Partners.
  • Seller delegates who represent organizations in both Alberta and BC, may only attend as a delegate in either the Alberta appointment session or the BC appointment session, not both.
  • For consortia Sellers, all representatives must have the authority to sign wholesale net rate or commission agreements on behalf of all organizations in their consortia.
  • Retail operations must have an existing tour operator program that has been in place for a minimum of one year to be considered.
  • The registration fees include all CWM business sessions, functions and events for registered Seller delegates only.
  • With the exception of the specific authorization and approval of the individual by the CWM Partners, guests, spouses or VIPs are not permitted access to official CWM business sessions, events and functions. The only function open to non-delegates is the CWM Dinner & Dance at a cost of $100.00 per person and attendance must be approved by the CWM Partners.
  • CWM trade show badges must be worn at all times visibly by all delegates during the CWM trade show and are not transferable at any time. Admission to all official CWM business sessions, events and functions is by badge alone. Sellers are not permitted to exchange or share name badges with any other delegate or non-registered delegate. Replacement cost for a name badge is $200.00
  • Any Seller delegate who does not adhere to the Seller policies and regulations will be asked to leave the trade show floor immediately, and may be excluded from attending the CWM trade show in the future.
  • The CWM Partners, contractors, Tourism Richmond, Richmond Conference Centre, transportation provider and the CWM hotels will not be held responsible for items lost or stolen at any time during the CWM trade show or official CWM functions & events. Delegates are responsible for their own personal belongings.
REGISTRATION FEES:

Seller registration fees are based on the purchase of appointment schedules as below. A maximum of two appointment schedules per Seller organization is allowed and must be approved by the CWM Partners, which will be determined by the Buyer/Seller ratio.

ONE APPOINTMENT SCHEDULE:
  • Registration fee is $1,250.00 (plus applicable taxes). This includes registration for one delegate for that specific company, one set of appointments, access to business sessions, and all hosted meals and functions.
  • Each appointment session is comprised of 50 appointments.
TWO APPOINTMENT SCHEDULES:
  • Registration fee is $2,500.00 (plus applicable taxes). This includes registration for two delegates, two sets of appointments and access to all business sessions, hosted meals and functions.
  • A maximum of two appointment schedules per Seller organization is allowed and must be approved by the CWM Partners, which will be determined by the Buyer/Seller ratio.
ADDITIONAL DELEGATES:

All Seller organizations may register additional delegates, based on the following:
  • There is a $700.00 fee (plus applicable taxes) for each additional delegate. This includes access to the trade show floor and all hosted meals and functions.
  • A maximum of one additional delegate will be permitted per appointment schedule. (A maximum of one additional delegate for Sellers with one appointment schedule, and a maximum of two additional delegates for Sellers with two appointment schedules.)
  • Additional delegates must represent the registered Seller organization only and are not permitted to represent another product or property.
  • The CWM Partners must approve each additional delegate.
PAYMENT:
  • An invoice will be forwarded at the time Sellers are advised of their acceptance into the 2019 CWM trade show. The invoice will be sent to the primary Seller delegate by e-mail. One single payment will be accepted per Seller organization.

  • Full payment must be received for all approved Seller organizations by Friday, August 30, 2019. Only Sellers who have submitted complete payment by the deadline will be permitted to request appointments.
After August 30, 2019, a late payment fee of $250.00 will be applied
No exceptions
  • Seller cancellations received on or before, Friday, September 30, 2019, will be refunded 50% of their paid registration fees.
  • Seller cancellations received after Friday, September 30, 2019, will not receive a refund.
